POLICY 3: STRICT CANCELLATION POLICY
Detailed Rules
For Partial Refund (50% of Accommodation Fees for All Nights):

• Guest must cancel by 12:00 PM (noon) Ghana Time at least 14 full days (336 hours) before local check-in time.
• Example: For Friday 3:00 PM check-in, cancel by 12:00 PM two Fridays prior.

For Partial Refund (50% of Accommodation Fees for Nights Not Spent ONLY):

• Guest cancels LESS than 14 days before, but MORE than 7 days before local check-in time.
• Example: For Friday 3:00 PM check-in, cancel between 12:01 PM two Fridays prior and 2:59 PM the previous Friday.

No Refund:

• Guest cancels LESS than 7 days before local check-in time.
• Guest cancels AFTER the local check-in time.
• Guest fails to arrive ("no-show").
• Guest leaves early after check-in.

Akwaaba Stay Service Fee Treatment:

• The Akwaaba Stays guest service fee is non-refundable in all cancellation scenarios.
• The Akwaaba Stays host service fee is fully charged regardless of cancellation timing.

Additional Provisions:

• Cleaning fees are non-refundable for any cancellation less than 14 days before check-in.
• All additional fees are non-refundable within 7 days of check-in.
• Special Events/Peak Seasons: Hosts may designate specific dates as "Non-Refundable" with prior written approval from Akwaaba Stay (e.g., Christmas, New Year, Panafest).
• Long-term stays (28+ nights): Guest receives full refund if cancelled within 48 hours of booking confirmation, if check-in is at least 28 days away. After 48 hours, no refund for first 30 days; 50% refund for remaining nights if cancelled at least 30 days before check-in.

Example Scenario: Listing: Takoradi Luxury Villa Check-in: Friday, December 20 (Peak season) Nights: 7 nights Nightly rate: GHS200 Total accommodation fee: GHS1,400 Cleaning fee: GHS100 Akwaaba Stay guest service fee: GHS85 Host service fee: 10% = GHS140 If guest cancels:

• December 1 (19 days before) → 50% refund: GHS700 accommodation only (Host keeps GHS700, pays GHS140 host fee)
• December 15 (5 days before) → No refund (Host keeps GHS1,400, pays GHS140 host fee)
• December 20 after 3:00 PM → No refund

*GHS85 guest service fee and GHS100 cleaning fee are non-refundable in all cases.* GENERAL TERMS APPLICABLE TO ALL POLICIES Host-Initiated Cancellations: If you cancel a confirmed booking:

1. Guest receives full refund
2. Your calendar is blocked for those dates
3. You will be charged a cancellation penalty fee equal to 50% of one night's rate or GHS50 (whichever is higher)
4. Repeated cancellations may result in listing suspension or deactivation

Extenuating Circumstances: Our Extenuating Circumstances Policy may override the selected cancellation policy for qualifying events (serious illness, natural disasters, government travel restrictions). Documentation is required. Platform Modifications: Akwaaba Stay reserves the right to:

1. Modify cancellation timelines during peak seasons or special events
2. Implement different policies for specific property types
3. Mediate disputes regarding policy interpretation

Policy Selection & Changes:

• You may change your cancellation policy for future bookings at any time
• Existing bookings remain governed by the policy in effect at time of booking
• Policy must be clearly displayed on your listing page

Dispute Resolution: Any disputes regarding cancellation payouts will be resolved in accordance with Ghanaian law and the Akwaaba Stays Terms and Conditions, with mediation as the first recourse under the Alternative Dispute Resolution Act, 2010 (Act 798). Implementation Notes for Akwaaba Stays Operations:

1. These policies should be presented to hosts as clear radio-button options during listing creation
2. The selected policy must be prominently displayed on both the listing page and booking confirmation
3. Automated refund calculations should be built into the payment processing system
4. Host dashboard should show potential payout amounts under different cancellation scenarios
5. All times should be automatically calculated based on the property's local time zone

This policy suite has been drafted in compliance with Ghanaian consumer protection principles while providing hosts with clear, enforceable options to manage their booking risk.
